We’re looking for an enthusiastic and focused Client Services Administrator to contribute to the growing success of our business. We work with businesses in helping them with their goals through profit improvement, tax minimisation, cash flow management and much more. We support businesses to find the ‘how to’s around making a client’s financial big picture become their reality – making sense of numbers.
What does the position involve?
You will be responsible for completing general office tasks as well as providing high standard client service and drafting client correspondence. This position is very diverse and busy and is the central hub to ensuring the smooth running of the practice.
You will be responsible for tasks such as:
- Being courteous to all the clients whilst managing the general reception responsibilities
- Answering all incoming calls and managing the general email inbox
- Actioning client follow-ups regarding queries, documents waiting to be signed, assistance in other matters, documents to be returned, etc.
- General administration – scanning, filing, photocopying, managing mail, ordering office supplies, maintaining office supplies
- Managing general office tasks systematically
- Providing administrative support to Directors and other staff when needed
- Ensuring a neat and safe workspace
- Providing basic IT troubleshooting
- Coordinating social media posting and other marketing-related activities

You already love talking with clients and they have always loved talking with you as you help them set up their accounting software, train them and troubleshoot bookkeeping issues with them on a regular basis. You can expect to be completing; data entry, reconciling bank accounts, payroll and super processing, activity statements from start to finish for a range of businesses and financials to trial balance stage all from client datafiles.
You’ll have experience in communicating with clients regarding outstanding information and queries. We plan and scope all our work at Proactive so if you have experience working within scope, time and dollar budgets that would be a bonus.
You will be responsible for your own workflow, will have the benefit of onsite parking, shops just across the road and a supportive team with a focus on communication to help you deliver amazing client service and smash out some serious processing goals.
The position is full-time and we’re happy for you to start straight away if you’re available. Formal bookkeeping or accounting qualifications are not required, we’ll provide all the training and support you’ll require but if you do have them then please let us know.
